Senior Administrative Assistant (m/f/d)



Your Responsibilities:



Provide administrative support to the Head of Sales:



Travel and appointment planning

Calendar management

Handling correspondence

Data maintenance and archiving

Preparation of expense reports

Maintenance of field staff lists, files, and organisational charts

Documentation of audit-relevant materials



Serve as point of contact for field staff and regional managers

Organise and help design internal meetings and events

Collaborate with event agencies

Compile weekly emails for field staff based on predefined content

Assist in preparing presentation slides for meetings

Support regional managers in the South with queries and guidance

Participate in and potentially lead sales-related sub-projects

Monitor expense management including accruals

Provide holiday cover for other sales assistants

Coordinate travel arrangements, appointments, meetings, and conference calls

Handle correspondence (also in English) with courts, lawyers, authorities, associations, seminar providers, colleagues (domestic and international), committee members, and other partners

Support budget and invoice management

Liaise with external legal network

Assist with project management tasks

Conduct internet-based research

Prepare presentations in both German and English

Maintain the internal and external web presence of the legal department and foundation



Your Profile:



Completed commercial training or equivalent qualification

High reliability, strong organisational skills, and a friendly, professional demeanour

Excellent team spirit and communication skills

Solution-oriented, agile mindset with open and constructive communication

High level of loyalty and discretion

Strong coordination skills and experience in cross-functional teamwork

Fluent in German with excellent English skills (spoken and written)

Flexible, proactive, self-driven, and responsible

Quick comprehension and precise, dependable working style

Proficient in MS Office (Word, Excel, PowerPoint, Outlook, SharePoint)

Residence in the Bad Homburg area and regular office presence required

Humour, friendliness, and team spirit

Structured and independent working style with intrinsic motivation

Conscientiousness, reliability, and forward-thinking

Confident handling of modern digital tools



Key Details



Salary: €55,000 - €60,000 per annum

Duration: 18 months (temporary employment via employee leasing)

Start Date: As soon as possible
